Public DNS guide

Configure your own portal address

Use this guide with the person who manages your organisation's domain. You never need to share a password or full DNS access with Rapportly.

No custom domain needed?

The shared portal works without DNS changes

If you use the standard rapportly.io/portaal address, you do not need to change DNS, certificates or sign-in addresses. Your white-label name, logo and colours are used there as soon as the entitlement is active.

Step by step

From choosing a domain to a controlled launch

DNS changes become visible after the administrator saves them and the change has propagated. Existing website and email records remain in place.

  1. 1
    Choose an unused subdomain

Prefer a new address such as portal.youroffice.com. Do not change the root domain already used by your website and email.

  2. 2
    Copy the exact values

Only use the name and value shown for your organisation's activation. Verification and DKIM values are unique and must not be copied from another office.

  3. 3
    Save without a proxy

During initial verification, set a new portal record to DNS only if your provider offers a proxy option. Leave existing MX, SPF and website records unchanged.

  4. 4
    Wait for the checks

Rapportly checks domain ownership, routing, the certificate, sign-in and return addresses, and the link to the correct office before releasing the address.

  5. 5
    Test before client use

Open the new address, sign in with a test user, check the logo and colours, and confirm sign-out and return stay on the same domain.

DNS overview

Which DNS records can you expect?

The record types below are public. Exact names and values are provided per organisation during activation. Never add example values to your domain.

Custom portal address

Route to the client portal

Type
CNAME or an alternative specified during activation
Name or host
The selected subdomain, for example portal
Value
The exact target from your activation

This routes only the selected subdomain to the Rapportly client portal.

Domain verification

Proof of domain ownership

Type
TXT
Name or host
The unique verification name from your activation
Value
The unique verification code from your activation

This proves your organisation controls the domain and should not be reused casually after verification.

Custom email sender

SPF and DKIM

Type
TXT and possibly CNAME, exactly as specified
Name or host
Preferably on a separate sending subdomain
Value
The unique SPF and DKIM values from your activation

A separate sending subdomain prevents overwriting your existing business email configuration.

Email security

DMARC policy

Type
TXT
Name or host
_dmarc on the selected sending domain
Value
The policy agreed with your email administrator

Choose the policy with your business email administrator. Rapportly does not alter an existing DMARC policy.

Protect your existing email

Never add a second SPF record on a name that already has one. Add the required sender to the existing policy or use the separate sending subdomain from your activation. Do not remove MX, SPF, DKIM or DMARC records without approval from your email administrator.

Who does what?

The client manages DNS, Rapportly guards the secure connection

Your organisation does this

  • ✓ Chooses the portal and optional sending subdomain
  • ✓ Adds the exact records shown at the DNS provider
  • ✓ Keeps existing website and email records in place
  • ✓ Confirms after the final test that the new address may be used

Rapportly handles this

  • ✓ Provides unique verification and routing values per organisation
  • ✓ Links the domain only to the correct office and tenant
  • ✓ Activates and verifies the security certificate
  • ✓ Checks allowed sign-in and return addresses before release

Enterprise integration
